Company Description

In your role as PA, you will be responsible for providing diary management and administrative support to the Chief Marketing Officer and Central Marketing Leadership Team as well as being the point of contact for office support for any of the London office locations. Working closely with the Chief Marketing Officer, the PA is also responsible for providing facilities support for all London office locations, ensuring that the internal office spaces are continually managed to a high standard.  Currently there are three offices in Zone 1.

Job Description

The role will be responsible for administrative support including communications to internal and external contacts on behalf of the Chief Marketing Officer, extensive calendar and inbox management, proactive handling of scheduling conflicts, and keeping on top of and handling multiple actions and requests. A key accountability for the role also includes ensuring all London office locations are proactively managed and maintained to a high standard.                                                                                      

In your role role as PA you will...

  • Provide real-time email and calendar management for the Chief Marketing Officer - ensure the agenda reflects the priorities, schedule meetings, flag priority actions, answer or redirect queries, prioritise, and safeguard time
  • Respond on behalf of the Chief Marketing Officer to a wide range of senior-level stakeholders, maintaining high professional standards whilst addressing conflicting needs
  • Manage the outstanding actions for the Chief Marketing Officer and proactively follow up to ensure these are completed within allocated deadlines
  • Support preparation of presentation materials and information for Chief Marketing Officer
  • Management of Chief Marketing Officer travel and expenses in line with the policy
  • Manage coordination of planning for Marketing Leadership Team meetings including department wide social events and conferences
  • Provide specialist project administrative support to the Marketing Leadership Team and Central Marketing department as required
  • Act as a point of contact for Executive Board members for office tasks and queries when they are working out of any of the London offices.

  • Good business awareness with sensitivity to highly confidential information
  • Proactive organisation skills – able to manage conflicting priorities and adapt to shifting needs
  • Excellent written and verbal communication skills to employees at all levels
  • High attention to detail, working consistently at a high standard
  • Advanced proficiency in Microsoft Outlook, Word, Excel, PowerPoint, SharePoint and MS Teams
  • On the job experience in a comparable role
