Company Description

This role involves the coordination and administrative support of the capital development  programmes across GK Pubs Division. Supporting the relevant Head of Property Services and their team, this role ensures that the capital development and maintenance plans are kept to time and appropriate approvals and governance rules are followed. It involves providing full administration support to the Head of Property Services and their teams, and the organisation of and attendance at meetings and events.

Job Description

As our Property Co-ordinator you will be responsible for...

  • Providing full administration support to Head of Property Services and their teams
  • Managing diary, e-mail and tracking all elemental budgets for Head of Property Services
  • Organisation of and attendance at meetings and events for the team
  • Co-ordinate monthly property meeting agenda/actions, attend various meetings and take minutes
  • Coordinating Property Initiative projects e.g. garden schemes, audio visual upgrades, energy initiatives etc
  • Coordinating the capital development and maintenance project plans
  • Ensuring that the design review process is up to date and that all projects get the appropriate approvals in a timely manner and in line with the programmes.  
  • Ensure Quantity Surveyors/Project Managers issue Capital Governance documents by the deadlines provided by Finance
  • Ensuring purchase orders are raised in line with the budgets
  •  
  • Adhoc administration and support to property team such as:
    • Developing and maintaining project or activity trackers and plans
    • Production and distribution of relevant reports and assisting with all associated queries
    • Co-ordination of supply chain, consultants and contractors associated with project and maintenance programmes
    • Arranging meetings, conference calls, refreshments, events, overnight stays and flights quickly and economically
    • Processing expenses and credit card statements etc
    • Maintaining expenses for the Head of Property Services
    • Co-ordinating purchase orders for projects and activities
    • Assist in the smooth running and delivery of Property projects as required
    • Reviewing and tracking of teams holidays with Head of Property Services
    • Ensuring final plans for all developments are received from Designers and saved in the relevant files
    • Save Health & Safety documents for all Business Units following development

What you'll bring...

  • Proven ability to organise key tasks and priorities to ensure deadlines are met
  • Self-motivated and able to work effectively and efficiently without close supervision
  • Experience in collating information in a clear, concise format for communicating to the wider property team and third party suppliers
  • Ability to communicate at all levels across the business both written and verbal
  • Confidence to challenge when deadlines could be missed
  • Competent with Microsoft Office packages e.g. PowerPoint, Excel and Word.   Experience of CRM systems would be an advantage but not essential as training will be provided
  • Flexible to the needs of the business to ensure that objectives are achieved, in particular capital governance and design review meetings often held away from the office
  • High level administration skills including letter writing skills
  • Strong communication and interpersonal skills with high standards of customer service
  • High level of accuracy with attention to detail
  • Ability to work in a team environment as well as under own initiative
