Divisional Property Administrator
Full-time permanent role based at our Bury St Edmunds office, IP33 1QT (Mon-Fri 9:00 - 5:15)
This is a new role which involves the coordination and administrative support of the capital development and maintenance programmes across Greene King Pub Partners. Supporting the Head of Property Services & Senior Purchasing Manager and their teams, this role ensures that the capital development and maintenance plans are kept to time and appropriate approvals and governance rules are followed. It involves providing full administration support to the Head of Property Services and their teams, and the organisation of and attendance at meetings and events as required.
·Collate and report Procurement spend data from maintenance and finance systems
·Maintain contract and Service Level trackers
·Issue and collate tender documentation
·Attend contract review meetings, provide performance data and meeting minutes
·Complete contract administration including addendum drafting
·Coordinating the capital development and maintenance project plans
·Liaise with Finance Business Partners
·Ensuring that the design review process is up to date and that all projects get the appropriate approvals in a timely manner and in line with the programmes
·Attending capital governance meetings as required, providing paperwork and plans, completing minutes and agendas
·Ensure documents are available digitally for Capital Governance meetings and the link is issued by deadlines provided
·Ensure Quantity Surveyors/Project Managers issue Capital Governance documents by the deadlines provided by Finance.
·Attending design review meetings and ensuring that accurate action points are provided internally and to the external consultants and are followed up
·Providing full administration support to Head of Property Services and their teams
·Organisation of and attendance at meetings and events for the team
·Coordinating property Initiative projects e.g. garden schemes, audio visual upgrades, energy initiatives etc
·Ensuring purchase orders are raised in line with the budgets
·Managing diary and e-mail of the Head of Property Services
·Tracking all elemental budgets for Head of Property Services
·Co-ordinating annual inspections with field based surveyors
·Co-ordinating the dilapidation process with field based surveyors, BDMs and external consultants.
·Adhoc administration and support to property team such as:
-Developing and maintaining project or activity trackers and plans
-Production and distribution of relevant reports and assisting with all associated queries
-Co-ordination of supply chain, consultants and contractors associated with project and maintenance programmes
-Arranging meetings, conference calls, refreshments, events, overnight stays and flights quickly and economically
-Processing expenses and credit card statements etc
-Co-ordinating purchase orders for projects and activities
-Assist in the smooth running and delivery of Property projects as required
-Reviewing and tracking of teams holidays with Head of Property Services
-Ensuring final plans for all developments are received from Designers and saved in the relevant files
-Save Health & Safety documents for all Business Units following development
·Proven ability to organise key tasks and priorities to ensure deadlines are met
·Self-motivated and able to work effectively and efficiently without close supervision
·Experience in collating information in a clear, concise format for communicating to the wider property team and third party suppliers
·Able to communicate at all levels across the business both written and verbal
·Confident to challenge when deadlines could be missed
·Computer literate and working experience with Microsoft Office packages e.g. Powerpoint, Excel and Word
·Flexible to the needs of the business to ensure that objectives are achieved, in particular capital governance and design review meetings often located away from the office
·Good understanding and experience of using a maintenance portal and core finance system, and interpreting and reporting on data therein.
